Job Description

Position Overview

We are seeking a Records Management Associate to support the organization’s daily records management operations, ensuring compliance with internal policies and external regulations. This role works closely with the Records Management Manager and partners across business units to manage records lifecycles—from creation and classification to retention, access, and disposition.

The Associate will also be responsible for coordinating and managing the development of the company-wide Records Retention Schedule. This includes engaging with stakeholders across departments to identify record types, assess business and regulatory requirements, and ensure accurate categorization. They will track progress, resolve issues, and maintain clear documentation to ensure the schedule is comprehensive, compliant, and aligned with operational needs.

Key Responsibilities:

  • Assist with the development, implementation, and enforcement of records retention policies and schedules across departments.

  • Support records inventory projects, data classification efforts, and records audits across electronic and physical records systems.

  • Coordinate records disposition activities, including review, approvals, documentation, and secure destruction.

  • Respond to internal inquiries related to records retention, access, and compliance.

  • Maintain accurate logs and documentation of records activities and compliance reviews.

  • Assist in onboarding and educating staff on records management policies and best practices.

  • Support litigation hold processes and records retrieval efforts in collaboration with Legal or Compliance.

  • Oversee temporary hires supporting records management projects.

  • Develop and maintain KPIs and similar project tracking tools.

  • Collaborate with the technology team as needed to ensure consistency between records management programmatic requirements and system functionality.

Required Qualifications:

  • Bachelor’s degree in Library Science, Information Management, Business Administration, or related field.

  • 3+ years of experience in records management, document control, or related administrative functions.

  • Working knowledge of records management principles, including records lifecycle, retention schedules, and regulatory requirements.

  • Experience in developing records retention schedules and supporting the build of a new enterprise level records management program.

  • Strong attention to detail and organizational skills.

  • Excellent project management skills.

  • Comfortable presenting to large groups of individuals and executives.

  • Proficient in Microsoft Office tools (Word, Excel, Outlook, PowerPoint).

  • Proficient in Microsoft SharePoint.

  • Clear verbal and written communication when collaborating across departments such as technology solutions and compliance.

  • Ability to explain records procedures to non-records management focused positions.

  • Clear communication skills, both written and verbal, with the ability to work with staff across all levels.

  • Eligible to work in the United States without the need for employer visa sponsorship now or in the future.

Preferred Qualifications:

  • Familiarity with records management regulations and standards (e.g., ISO 15489, NARA, GDPR, CIPP, HIPAA, etc.).

  • Experience working in regulated industries such as government, legal, finance, or healthcare.

  • Familiarity with developing and implementing companywide trainings.

  • Experience in developing company-wide communications.

  • Coursework or certifications in records management, such as ARMA’s IGP or AIIM’s practitioner training.

  • Coursework or certifications in project management or change management.

  • Experience managing temporary hires.

Base Pay

80,000.00 - 90,000.00 USD Annual
Bonus: 20% - 30%

The base pay range reflects the minimum and maximum target salary for the position. Invenergy considers a number of factors when determining base pay offers such as the scope and responsibilities of the position and the candidate's experience, education and skills.
