The Receptionist serves as the first point of contact for employees, clients, partners, and visitors at Acciona’s Atlanta Headquarters. This role provides high-quality front desk support, ensures a professional and welcoming office environment, and assists with administrative tasks that enable smooth day-to-day operations.

The Receptionist supports Acciona’s Infrastructure division—including Construction, Concessions, and Agua—while coordinating closely with project teams such as SR400, I-10 Louisiana, Fargo, and other U.S. offices.

Job Description

Front Desk & Customer Service

• Greet and welcome all visitors, employees, vendors, and partners in a professional and courteous manner.

• Manage visitor check-in/check-out processes, including issuing badges and ensuring compliance with HQ safety and security protocols.

• Answer, screen, and route incoming calls; manage general HQ inboxes and ensure timely follow-up.

• Maintain a tidy, organized, and professional reception area.

Office Operations & Administration

• Coordinate conference room reservations, meeting setups, and technology needs.

• Assist with mail, package delivery, shipping, and courier services.

• Maintain office supplies, inventory tracking, and vendor coordination (e.g., catering, cleaning, maintenance, security). Ensure the office kitchen is well-maintained, clean and stocked with necessary supplies such as coffee, tea, snacks, and cleaning materials. Monitor kitchen supplies and place orders as needed. Manage dishwashing duties by ensuring that dishes are cleaned and put away, maintaining the dishwasher and keeping the kitchen area organized and tidy at all times.

• Support new-hire onboarding by preparing welcome materials, badges, workstation setup coordination, and first-day orientation tasks.

• Provide general administrative support including filing, scanning, printing, and document preparation.

Executive & Departmental Support

• Assist Leadership, HR, Finance, and Project Management teams with scheduling, travel coordination, expense submissions, and administrative tasks as needed.

• Support planning and logistics for company events, trainings, Town Halls, safety meetings, and project visits.

Facilities & Safety

• Monitor access control systems and support adherence to Acciona security policies.

• Coordinate with building management on facility issues, maintenance requests, visitor parking, and building amenities.

• Assist with emergency procedures, safety communications, and compliance postings.

Culture, Brand & Representation

• Serve as an ambassador of Acciona’s values—sustainability, innovation, and excellence—through high-quality client service and professionalism.

• Support initiatives that enhance the HQ employee experience, including hospitality, events, and communication support.

Required Skills and Competencies

  • High school diploma or equivalent required; associate degree preferred.
  • 1–3 years of experience in reception, administrative support, customer service, or office coordination (construction/engineering industry preferred but not required).
  • Experience supporting multi-disciplinary teams or corporate HQ environments a plus.

Skills & Competencies

  • Strong interpersonal and communication skills.
  • Professional presence and ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
  • Ability to collaborate with cross-functional teams across the U.S. and internationally.
  • Bilingual English/Spanish is an asset but not required.
