Payroll Analyst Job Summary:
We are currently seeking a diligent, highly motivated Payroll Analyst to join our Human Resources Operations team. Reporting to the Senior Payroll Manager, you will be responsible for full cycle payroll processing for an increasing workforce while ensuring compliance with relevant regulations across multiple states.
Key Responsibilities:
1. Payroll Processing:
- Collect and verify timekeeping information for all employees.
- Calculate wages, overtime, and deductions based on company policies and applicable laws.
- Process weekly, bi-weekly, or monthly payroll cycles.
- Review and verify changes in payroll data such as job titles, salaries, and department transfers.
- Ensure payroll integrity through audit reports, data analysis and collaboration with other team members.
- Timely and accurately prepare on-demand payments for terminations, retro-adjustments and other distributions determined to be necessary for immediate payment.
- Provide ad hoc responses to business partners' queries.
- Coordinate payroll funding requests with Treasury.
- Process garnishment orders received and issue agency responses.
- Continue to identify opportunities for automation within our existing environment.
2. Tax and Deduction Administration:
- Calculate and withhold federal, state, and local taxes.
- Assist with registering states for payroll taxes.
- Process wage garnishments, child support orders, and other involuntary deductions.
- Ensure compliance with Federal, state, local, international tax and wage &hour laws, regulations or guidelines.
- Calculate and withhold taxes related to stock option exercises and equity vesting
- Calculate and process benefit deductions from employees' paychecks.
- Ensure compliance with tax regulations and reporting requirements.
- Assist with year-end W-2 processing.
3. Record Maintenance:
- Maintain accurate payroll records and employee information.
- Prepare and distribute payroll reports to management.
4. Payroll Reconciliation:
- Reconcile payroll data to ensure accuracy and resolve any discrepancies.
- Prepare and process payroll journal entries along with a reconcile of the general ledger payroll transactions.
- Ensure proper mapping of earnings and deduction codes.
5. Compliance and Reporting:
- Stay updated on payroll laws, regulations, and best practices.
- Prepare required Sox compliance controls on the required schedule.
- Prepare and submit required payroll tax filings and reports, such as W-2s and 941s.
- Assist with internal and external audits related to payroll.
- Ensure compliance with stock plan documentation and regulatory requirements.
6. Employee relations:
- Respond to employee inquiries regarding payroll issues, discrepancies, and general questions.
- Provide excellent customer service to internal and external stakeholders.
7. Required Qualifications:
- Bachelor’s degree preferred (CPP a plus)
- Requires a minimum of 6 years of experience processing multi-state payroll.
- At least 4 years of payroll tax experience
- Requires experience with ADP Workforce Now
- Experience with company issued Stock plans preferred.
- Global Payroll experience preferred.
- Workday experience is preferred.
- Excellent attention to detail
- Excel expert – advanced skills including Pivot tables, X-Lookups and data Validation.
- Deadline-focused and exhibits an analytical and problem-solving ability.
- Communicate effectively both verbally and in writing.
- Exceptional customer service and project management skills
- Ability to work in a fast-paced and high-volume environment and manage multiple and/or conflicting priorities.
- Open to ongoing change and demonstrate the ability to handle obstacles with diplomacy and tact.
- Solid understanding of accounting fundamentals and payroll best practices
