Job Description

We are looking for a talented individual…

To join our team as an Operations Coordinator! Operations support staff ensure smooth delivery of projects and programs, both internally and externally, while adhering to program, practice, and operations guidelines. Operations support staff roles often encompass multiple areas including data management, metrics and reporting, team facilitation and coordination, and process definition and improvement.

The breadth of scope ranges from supporting individual programs, projects, or processes at the program level to supporting broader functions or organizational initiatives. These roles tend to be more internal-facing than client-facing; however, Operations Coordinators will often have direct communication with customers, clients, or trade allies.

For this opportunity, you’re a great fit if you can…

  • Schedule and track projects for Technicians, Auditors, Account Managers, Energy Advisors, and Program/Operations staff
  • Track, verify, and maintain program paperwork, files, project documentation, and correspondence to ensure completeness and accuracy
  • Provide consistent organization of program/project documentation across various repositories
  • Assist with payment processing and review enrollment documentation, including W‑9 forms
  • Perform data entry, gather and track program data, and ensure overall data quality
  • Determine property eligibility for program participation using code enforcement data, property appraisal records, and other available data sources
  • Enter and maintain program and property data within DSMT (Salesforce)
  • Review property unit directories and convert them into organized, legible Excel documents
  • Create and update Excel files used for tracking, analysis, and program documentation
  • Prepare measure summaries or rebate estimates for trade allies
  • Assist with scheduling onsite inspections and internal meetings
  • Export pre-designed reports to support program metrics and operational tracking
  • Support staff meetings and provide general program coordination and administrative support
  • Assist with special projects and process improvement initiatives as assigned
  • Communicate with various teams to complete project tasks, as needed

In this exciting career opportunity, you will have…

  • 2–4 years of experience in operations coordination, administrative support, program support, or a related role
  • Strong experience working in an office or desk-based administrative environment
  • Proficiency in Excel, including reviewing, organizing, and manipulating spreadsheets
  • Experience working with Salesforce or similar CRM platforms, particularly for data management and payment processing
  • Strong attention to detail and the ability to manage multiple priorities
  • Effective written and verbal communication skills
  • A Bachelor’s degree is preferred but not required
