Job Description:

Position Overview

The Manager Scheduling position is critical for the successful planning and execution of projects within our organization. The ideal candidate brings extensive experience in project planning and scheduling, particularly with Primavera P6, along with strong analytical thinking, teamwork abilities, and experience in personnel management and resource coordination.

Key Responsibilities

  • Lead the scheduling team, ensure process compliance, incorporate lessons learned, and develop standards.

  • Develop and maintain project schedules: Create comprehensive project schedules in collaboration with subject-matter experts (SMEs) using Primavera P6. Integrate schedules from Balance of Plant (BOP) contractors and other subcontractors into the master schedule. Define project milestones, deliverables, and dependencies based on project requirements. Assess schedule integrity and provide improvement recommendations according to DCMA 14. Perform real-time schedule updates to support time analyses and ongoing schedule refinement throughout the project lifecycle.

  • Monitor project progress: Track project activities regularly and monitor progress against the baseline. Communicate with contractors to ensure timely data submission. Identify potential delays, bottlenecks, or risks and proactively collaborate with the project team to mitigate and resolve issues. Analyze critical path constraints to determine the impact of schedule changes and recommend alternatives.

  • Support project coordination activities: Work with project managers, engineers, and other stakeholders to capture project requirements, identify tasks, and allocate resources. Promote cross-functional communication to ensure alignment of project schedules and dependencies.

  • Resource management and optimization: Efficiently allocate project resources—including personnel, equipment, and materials—based on project priorities and constraints. Identify resource shortages or conflicts and propose solutions to maintain the project schedule.

  • Risk management: Identify potential risks and develop contingency plans for schedule deviations in collaboration with SMEs. Anticipate potential schedule impacts due to scope changes, resource availability, or external factors, and recommend mitigation strategies. Provide necessary information for extension-of-time (EOT) claims to reduce the risk of liquidated damages (LD), including as-planned/as-built analyses and time impact analyses.

  • Documentation and reporting: Maintain accurate project schedules and all related documentation. Prepare regular status reports, progress updates, and dashboards for stakeholders highlighting key milestones, schedule deviations, and critical issues/concerns.

  • Continuous improvement: Identify opportunities for process improvement in project scheduling. Implement best practices, lessons learned, and industry standards to optimize execution and improve scheduling efficiency.

  • Portfolio management: Provide well-informed portfolio reports combining ongoing and upcoming projects. Actively participate in the business unit team to provide resource management and scheduling guidance. Use and further develop data dashboards for effective portfolio management to support decision‑making at the business unit level. Contribute to establishing standards, tools, and templates in line with regional and global guidelines.

Required Qualifications and Experience

  • Education: Bachelor’s degree in engineering or a related field.

  • Experience: At least 5 years of proven experience in project planning and scheduling using Primavera P6.

  • Experience in personnel management and team leadership.

  • Analytical skills: Excellent analytical, organizational, and problem‑solving abilities.

  • Work ethic: Ability to work with minimal supervision in a fast‑paced environment.

  • Collaboration: Strong ability to collaborate and manage multiple complex tasks/projects.

Technical Competencies

  • Project planning and scheduling: Strong knowledge of creating and maintaining project schedules, particularly with Primavera P6.

  • Resource management: Ability to efficiently allocate and manage resources including personnel, equipment, and materials.

  • Risk management: Experience identifying and analyzing risks and developing contingency plans.

  • Documentation and reporting: Ability to produce accurate status reports, progress updates, and dashboards.

  • Analytical skills: Strong ability to assess schedule integrity and conduct time impact analyses.

  • Software skills: Familiarity with Oracle Unifier and other relevant software tools supporting project planning and reporting.

  • Certifications: Scheduling certifications (e.g., PMI‑SP or similar) are an advantage.

Additional Skills

  • Communication: Excellent verbal and written communication skills in German (minimum C1) and English (minimum B2).

  • Teamwork: Ability to collaborate with various stakeholders including project managers, engineers, and contractors.

  • Coaching and training: Experience training teams and non‑specialists in scheduling to drive change.

  • Conflict resolution: Ability to proactively identify and resolve conflicts and challenges throughout the project.

  • Flexibility: Adaptability to changing project requirements and conditions.

  • Ownership: Ability to work independently and take responsibility for one’s own work, particularly in a dynamic environment.
