The Fleet Coordinator is responsible for supporting the daily operations of company vehicles and equipment, ensuring efficient fleet utilization, compliance with transportation regulations, and timely coordination of maintenance, logistics, and tracking activities. This role works closely with internal teams, drivers, vendors, and subcontractors to maintain safe, compliant, and cost-effective fleet operations.

This role is based full-time in our office in Sacramento, CA. Specific location details and expectations will be discussed during the interview process.

Job Description:

Position Responsibilities and Duties:

Fleet Operations Coordination

  • Coordinate daily fleet activities, including vehicle scheduling, availability, and utilization

  • Track company vehicles, heavy equipment, and GPS activity to ensure efficient routing and usage

  • Maintain accurate fleet records, including registration, inspections, and usage logs

  • Assist in optimizing fleet operations to support project timelines and operational needs

Fleet Maintenance & Equipment Support

  • Schedule and track routine maintenance, repairs, and service for vehicles and equipment

  • Ensure vehicles and equipment meet safety and operational standards

  • Coordinate with third-party service providers and equipment vendors

  • Maintain service records and track maintenance history

  • Assist with coordination of solar equipment maintenance as needed

Compliance & Safety Support

  • Support compliance with DOT/FMCSA regulations and company safety policies

  • Review and maintain Driver Vehicle Inspection Reports (DVIRs)

  • Track roadside inspections, violations, and citations

  • Assist with accident/incident documentation and reporting

  • Maintain compliance records and support audit readiness

  • Track and coordinate safety training, meetings, and documentation

Shipping, Receiving & Equipment Coordination

  • Coordinate shipping and receiving of fleet-related equipment, materials, and parts

  • Assist with loading/unloading equipment and verifying deliveries

  • Support pre- and post-inspections of incoming and outgoing equipment

  • Document and communicate any equipment issues or discrepancies

Inventory & Parts Coordination

  • Track inventory of fleet-related parts, tools, and equipment

  • Assist with ordering and replenishing materials and supplies

  • Maintain accurate inventory records and report discrepancies

  • Support implementation and use of inventory management systems

Communication & Coordination

  • Serve as a point of contact for drivers, internal teams, vendors, and subcontractors

  • Communicate fleet availability, maintenance schedules, and logistics updates

  • Assist with resolving day-to-day fleet and equipment issues

  • Support coordination between field teams and operational leadership

Minimum Skills or Experience Requirements:

  • High School Diploma or equivalent required

  • 2–4 years of experience in fleet operations, logistics, or transportation support

  • Basic knowledge of fleet operations, vehicle maintenance, and logistics processes

  • Familiarity with DOT/FMCSA regulations and transportation compliance (preferred)

  • Experience with fleet tracking systems, GPS monitoring, or transportation software

  • Proficiency in Microsoft Excel, Word, and Outlook

  • Strong organizational, communication, and coordination skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Valid driver’s license

  • Travel Required - up to 40%

Preferred Qualifications

  • Experience coordinating commercial vehicle fleets or heavy equipment

  • Familiarity with DVIRs, compliance tracking, and safety programs

  • Exposure to inventory or asset management systems

  • Certification in Fleet Management or Logistics (a plus)
