Facilities & Administrative Coordinator

Status: Non-Exempt (hourly)

Department: Operations

Position Summary

The Facilities & Administrative Coordinator supports daily facility operations and office administration to ensure a clean, safe, organized, and efficient workplace. This role combines janitorial responsibilities with administrative coordination, office support, and employee service functions. The position serves as a key resource in maintaining workplace standards while supporting operational and administrative needs across the organization. Role allocation is approximately 70% facilities support and 30% administrative and office coordination.

Core Duties and Responsibilities

Administrative & Office Support Responsibilities

  • Assist with onboarding activities for new employees
  • Maintain office records and administrative documentation
  • Greet visitors, and direct inquiries appropriately
  • Sort incoming mail and parcel shipments, to the appropriate personnel
  • Order, track, and maintain inventory of office and cleaning supplies
  • Assist with scheduling meetings, coordinating calendars, and preparing meeting spaces
  • Support training class needs
  • Assist management with special projects and day-to-day operational needs

Facilities & Janitorial Responsibilities

  • Perform daily cleaning and sanitizing of offices, restrooms, breakrooms, conference rooms, and common areas
  • Empty trash and recycling; replace liners and dispose of waste properly
  • Sweep, mop, vacuum, and dust all assigned areas
  • Clean and restock restrooms and breakroom supplies
  • Monitor building condition and report maintenance issues or safety concerns
  • Ensure compliance with workplace safety and cleanliness standards
  • Assist with room setups for meetings, events, or trainings

Education and Experience

  • High school diploma or equivalent
  • Prior experience in janitorial, facilities, or building maintenance work
  • Basic computer skills (email, word processing, spreadsheets)
  • Ability to work independently and manage multiple responsibilities
  • Strong attention to detail and organizational skills
  • Ability to lift, up to 50 pounds and perform physical tasks throughout the workday
  • Experience in an office or administrative support role
  • Familiarity with workplace safety standards and cleaning procedures
  • Customer service or front-desk experience
  • Time management and task prioritization
  • Professional communication and interpersonal skills Bottom of Form

Pay Rate:

$21.00 - $29.50
