Job Description

Candidates must reside in GTA and be able to work in a hybrid setup.

We’re looking for a highly organized, resourceful, and proactive Executive Operations Partner to support our Canadian leadership team. This hybrid role blends elements of Executive Assistant, Operations Manager, and Chief of Staff, offering a unique opportunity to shape the employee experience, streamline operations, and amplify our regional impact.

This position is based in Toronto and will primarily support the Toronto office, with occasional coordination across our Canadian locations.

Executive Support

  • Provide expert calendar management for Canadian leadership, specifically SVP, ensuring smooth scheduling, prioritization, and time optimization.

  • Oversee full-cycle travel management for Canadian SVP, including itinerary development, logistics, and contingency planning.

  • Create high-quality PowerPoint presentations for Canadian leadership and broader regional initiatives.

  • Draft polished, professional communications on behalf of Canadian leadership & the region, ensuring clarity, tone alignment, and consistency.

Office & Operations Management

  • Manage the day‑to‑day operations of the Toronto office to maintain a welcoming, productive, and well-functioning workplace.

  • Support other Canadian offices as needed to ensure alignment, continuity, and operational excellence across regions.

  • Coordinate closely with the centralized facilities team on office moves, renovations, and space planning.

  • Serve as the primary point of contact for any facilities issues arising across our Canadian offices, ensuring timely communication and resolution.

Events & Culture

  • Lead planning and execution for client and internal events, ensuring memorable, well-organized experiences that reflect our brand and culture.

Marketing & Digital Presence

  • Manage website updates and administration for the Canadian region to keep content timely and relevant.

  • Oversee LinkedIn page administration, including drafting posts and supporting digital engagement efforts.

  • While this ideally transitions to the centralized marketing team, current responsibilities include managing much of the Canadian presence.

Exciting candidates will have...

  • Experience: Background as Executive Assistant, Operations Support, or similar hybrid role; proven support for senior leadership.

  • Technical Skills: Proficiency in Microsoft Office (PowerPoint, Word, Outlook); familiarity with collaboration tools (Teams, SharePoint) and digital platforms (LinkedIn, CMS).

  • Operations & Events: Strong office management skills, including space planning and facilities coordination; experience managing internal and client events end-to-end.

  • Executive Support: Advanced calendar management across time zones; full-cycle travel coordination; polished presentation design and professional business writing.

  • Marketing & Digital: Ability to manage website updates, LinkedIn presence, and basic digital marketing tasks collaborating with the communications team.

  • Core Competencies: Highly organized, detail-oriented, and adaptable; strong communication skills; ability to multitask and prioritize in a fast-paced environment; proactive problem-solver with a collaborative mindset.

$33.50-$41/h
